
Policies for The Mint Exchange Expo
Welcome to The Mint Exchange: TCG & Collectibles Expo!
To ensure a smooth and enjoyable experience for everyone, we’ve outlined our policies below for vendors and attendees.
By participating in the expo, you agree to adhere to these terms.
Vendor Policies
Code of Conduct
We are committed to maintaining a professional and respectful environment for all vendors and attendees. As a vendor, you agree to:
Treat all attendees, staff, and fellow vendors with respect and professionalism.
Avoid disruptive behavior that negatively impacts the event experience for others.
Refrain from soliciting or promoting your products at other vendors' tables without prior permission.
Conduct your business with honesty and in compliance with event rules and applicable laws.
Failure to adhere to this code of conduct may result in removal from the event without a refund and potential exclusion from future events.
Table Reservations & Payments
Tables are sold on a first-come, first-served basis and are considered confirmed once payment is received. Vendors who pay first will get to choose their table location (subject to availability).
A priority list of previous vendors will have the first chance at reserving tables before public release. Failure to comply with event policies, including being fully set up by 9:00 AM, may result in removal from the priority list or limited access to future table reservations.
Payment deadlines will be communicated during booking. Failure to pay by the deadline may result in forfeiture of your reservation.
Sponsored tables (designated as blue on the floor plan) are reserved exclusively for sponsors and are not available for selection by non-sponsors.
Table Assignments
Table assignments are first-come, first-served based on when payment is received. Sponsored spots are reserved for sponsors.
Refunds & Cancellations
Vendors may cancel their reservation up to 4 weeks before the event to receive a 60% refund. Refunds will only be issued under extreme or extenuating circumstances and at the discretion of event organizers.
No refunds will be issued for cancellations made less than 4 weeks before the event unless the event is canceled or postponed.
Set-Up & Breakdown Times
Set-Up Times:
10AM - 7pm Friday
7am - 9am Saturday
All vendors must be fully set up by 9:00 AM Saturday to ensure a smooth event.
Failure to do so may result in exclusion from priority table reservations or future events.
Breakdown:
Vendors are required to stay for the full duration of the event.

Enforcement Policy
Vendors who fail to set up on time or are unprepared by the start of VIP entry (9:00 AM) may face penalties, including:
Exclusion from priority table selection for future events.
Removal from the priority vendor list.
Repeat offenses may result in not being invited to future events.
Prohibited Items
Vendors are strictly prohibited from selling:
Counterfeit, bootleg, or unlicensed merchandise.
Items that violate copyright or intellectual property laws.
Materials deemed inappropriate or offensive by event organizers.
Adult content: This is a family-friendly event, and no adult-themed items are allowed.
Failure to comply may result in removal from the event without refund.
Late Vendors & No-Shows
Vendors who fail to check in and set up by 9:00 AM Saturday will be considered late.
Late vendors may forfeit their table without a refund. their table may be resold to waitlisted vendors and may result in exclusion from priority table reservations or future events.
Attendee Policies
Ticket Purchases
Tickets are non-refundable unless the event is canceled or postponed.
Tickets purchased with promo codes (e.g., EARLYRAY) are subject to availability and promotional deadlines.
Tickets may not be resold or transferred without prior approval from event organizers.
Code of Conduct
We are committed to creating a welcoming and inclusive environment for everyone.
Attendees must:
Treat all participants, staff, and vendors with respect and professionalism.
Refrain from harassment, inappropriate language, or disruptive behavior.
Properly dispose of trash and keep the venue clean.
Violations of this policy may result in removal from the event without a refund.
Age Restrictions
Children under 8 years old must be accompanied by an adult at all times.
Refund Policy
Vendor Refunds
Full refunds are available if cancellations are made within 48 hours of purchase.
Partial refunds (50%) are available up to 4 weeks before the event, but only under extreme circumstances and at the discretion of event organizers.
No refunds will be issued for cancellations made less than 3 weeks before the event.
If the event is postponed, vendor fees will automatically transfer to the new date.
Attendee Refunds
Refunds for tickets are only issued if the event is canceled or postponed.
General Event Policies
Photography & Videography
By attending The Mint Exchange Expo, you agree to be photographed or recorded for promotional purposes.
If you do not wish to be photographed, please notify event staff upon entry.
Liability Disclaimer
The Mint Exchange Expo and its organizers are not responsible for:
Lost, stolen, or damaged items.
Injuries or accidents occurring during the event.
Vendors are responsible for their own merchandise, equipment, and set-up materials.
Changes to Policies
Policies are subject to change at the discretion of event organizers. Any updates will be communicated to vendors and attendees before the event.
